Job Description

Green Skip Services Ltd is Malta’s leading waste Management Company with over 30 years of experience in this industry is currently seeking an ambitious individual to fill the post of Operations and Logistics Assistant.

Job overview and essential functions
Reporting to the General Manager / Operations Manager you will be responsible for assisting the Logistics Manager to ensure all drivers have accurate schedules and roots to follow daily thus ensuring that all clients are serviced as per their service agreement.

Assist in any work required for the tablet system:

  • Assist the Logistics Manager in the daily planning and completion of tickets to assign jobs for drivers according to work schedules
  • Scheduling of Scammell round lists
  • Checking lists with the system – This is to be completed on the same day and not the next morning
  • Liaise with drivers and get feedback and report any bottlenecks / barriers drivers are experiencing during collections / deliveries for operations (in the absence of the Data Analyst for the system) any operational bottlenecks are to be communicated to the Logistics Manager
  • Assist Drivers with logistics / collection queries
  • Use internal notes when major changes are made to the schedule
  • Ensure all Drivers have the required documents / permits etc in order to complete the works assigned to them
  • Complete accurate consignment permits when required in time for the Driver’s work schedule. (In the absence of the Receiving Officer)
  • Prepare any necessary documentation required for logistics / sales purposes
  • Monitor and follow up on incoming non-hazardous materials to ensure items collected are as per service agreement
  • Report any findings on waste collected or any reports from Drivers regarding collections
  • Ensure vehicles are equipped with PPE / Spill kits and fire extinguisher as required, and report any missing equipment to HR / responsible person
  • To monitor that the required PPE and uniforms are used/worn by the drivers
  • Ensure drivers are completing daily vehicle checks and reporting faults
  • File archive and organise documents for future reference, where logistics and Drivers are concerned
  • Assist the Logistic Manager in applications for CP, GBR permits and waste transfer notes as required by the authorities
  • Ensure all First aid / PPE equipment is available and is replenished as needed
  • Coordinate and communicate daily with the Logistics Manager, Site Manager / Supervisors and office personnel and help them with any tasks required for the day
  • Coordinate the daily work duties in the Logistics Managers’ absence
  • Attend meetings when necessary
  • Assist in research required for sales or operations
  • Take calls and messages accurately and ensure information is passed on to the relevant person
  • Assist the hazardous receiving officer when required in preparing labels or any admin work in case the need arises

The Role of the Operations and Logistics Assistant requires the individual to have excellent communication and people skills whilst maintaining a can-do attitude.

Qualifications:

  • Must have a flexible approach to work and a can-do attitude
  • Willing to work as part of a team as well as on your own initiative
  • ECDL qualified
  • Minimum A’ level standard education
  • Fluent in Maltese and English
  • Has good knowledge of Google Maps usage and locations in Malta
  • Enjoys working in a constantly changing environment and multitasking
