Job Description

We are seeking a highly motivated and customer-oriented individual to join our team as a Transport Coordinator at a leading transport company in Malta. As a Transport Coordinator, you will be responsible for efficiently managing client inquiries, providing accurate quotations, handling bookings, coordinating driver schedules, and ensuring compliance with licensing requirements. This role requires excellent communication skills, attention to detail, and the ability to handle multiple tasks simultaneously.

Responsibilities:

  • Client communication:
    • Serve as the primary point of contact for client inquiries via phone, email, and other communication channels.
    • Engage with clients in a professional and friendly manner to understand their transport needs and provide suitable solutions.
    • Respond promptly to client requests, providing accurate and comprehensive information regarding pricing, availability, and services.
  • Quotation management:
    • Prepare and send quotations to clients based on their requirements, ensuring accuracy and timeliness.
    • Follow up with clients to address any questions or modifications to quotations, striving to convert quotes into confirmed bookings.
  • Booking coordination:
    • Enter bookings into the company’s system accurately, including client details, trip itineraries, and vehicle requirements.
    • Coordinate driver schedules based on booking demands, ensuring optimal resource allocation and timely service delivery.
    • Communicate booking details effectively with drivers and provide any necessary instructions or updates.
  • Driver license renewals:
    • Monitor driver licenses and certifications to ensure compliance with legal and regulatory requirements.
    • Regularly communicate with drivers to facilitate the renewal process and collect necessary documentation.
    • Keep accurate records of license expiration dates, conducting proactive follow-ups to ensure timely renewals.
  • Mailshots and marketing:
    • Assist in the creation and execution of mailshots, newsletters, and promotional campaigns to attract and retain clients.
    • Collaborate with the Marketing team to develop compelling content and ensure accurate distribution to target audiences.
  • Application management:
    • Handle administrative tasks related to applications with Identity Malta, such as visa or work permit applications for foreign drivers.
    • Ensure that all necessary paperwork is completed accurately and submitted within specified timelines.

Requirements:

  • High school diploma or equivalent; additional qualifications in Business Administration or Customer Service are a plus.
  • Proven experience in a customer service or client-facing role, preferably within the transportation or logistics industry.
  • Strong interpersonal and communication skills, with the ability to engage and build relationships with clients and drivers effectively.
  • Excellent organizational and multitasking abilities to handle a high volume of client inquiries, quotations, and bookings.
  • Attention to detail and accuracy in preparing quotations, managing bookings, and maintaining records.
  • Familiarity with licensing and regulatory requirements in the transport industry, particularly driver licensing.
  • Proficient computer skills, including experience with CRM software, Microsoft Office Suite, and email management.
  • Ability to work independently and collaboratively in a fast-paced, dynamic environment.
  • Fluency in English and Maltese and knowledge of other languages will be considered an asset.
