Job Description

We are a leading beauty and advanced aesthetics equipment supplier and distributor in Malta offering complete solutions to businesses such as beauty clinics, spas, med-aesthetic clinics, Dermatologists and Plastic Surgeons.

With over 25 years of experience in the aesthetics industry, the company distributes various cosmetics brands and med-aesthetic devices. We provide training courses on various med-aesthetic treatments, both theory and practical hands-on workshops on treatments incorporating the latest technologies, together with accredited certification in various subjects. Together with our International Partners, Opinion Leaders and Trainers, we pride ourselves in sharing knowledge through our Academy, to support service providers with complete training and ongoing learning. The company also provides technical and after-sales support on aesthetic and medical devices to ensure smooth operations for our business partners.

The Position and Working Hours
We’re looking for an Administration Executive on a full-time basis.

Key Responsibilities:

  • Act as the main back-office support to sales representatives and assist them as required
  • Coordinate delivery logistics and preparation of client orders
  • Oversee stock management of products, inputting updates and placing orders as required
  • Issue invoices, credit notes and statements to clients
  • Sourcing and purchasing of raw materials and stock items from international and local suppliers
  • Organise events and workshops
  • Handle general administrative duties related to the office such as handling telephone calls, and setting appointments as required
  • Assistance to the managing director
  • Monitoring the company’s social media as required
  • Other duties as required by the company from time to time

Requirements:

  • An A’ level standard of education
  • Ability to write and verbally communicate clearly in English
  • Experience in an office environment would be considered as an asset
  • A pleasant and smart personality
  • Highly computer literate, mainly in Excel, Word, and Microsoft Outlook
  • Capable of planning ahead and multi-tasking
  • Able to work independently and as part of a team
  • Motivated with a can-do attitude
  • Ability to work under pressure, make decisions and remain accurate
  • Able to work within restricted timelines
  • Must have own transport

The salary offered is dependent on the level of competence and experience. Performance bonuses will also be given on established targets.
