Job Description

We are currently seeking an Internships Administrator to join our team.

Position purpose / summary
The Internship Administrator serves as a pivotal link between aspiring interns and partnering organisations, facilitating the successful placement of candidates into suitable internship opportunities. This role primarily focuses on coordinating the internship placement process, providing administrative support, and ensuring a streamlined experience for interns and collaborating entities. The Administrator’s responsibilities encompass candidate screening, communication management, administrative tasks, and program enhancement initiatives, contributing to the overall efficiency and effectiveness of the internship placement agency.

Main duties and responsibilities

  • Manage the end-to-end internship placement process, from initial candidate screening to placement confirmation.
  • Match candidates’ skills, interests, and career goals with suitable internship opportunities.
  • Coordinate and maintain communication between interns and host organisations.
  • Handle administrative tasks related to internship placements, including documentation, correspondence, and data management.
  • Maintain accurate and up-to-date records of interns, placements, and partnering organisations in the agency’s database.
  • Serve as a primary point of contact for interns, host organisations, and internal team members.
  • Communicate placement details, internship guidelines, and agency policies effectively to all stakeholders.
  • Review internship applications, conduct initial screenings, and coordinate interviews or assessments as needed.
  • Gather feedback from interns and host organisations to evaluate the success of placements and identify areas for improvement.
  • Organise and facilitate orientation sessions for interns, providing them with necessary information about the internship program and agency policies.
  • Guide interns through the onboarding process, ensuring a smooth transition into their placements.
  • Collaborate with the team to identify opportunities for enhancing internship programs.
  • Analyse placement data and trends to contribute insights for program development and optimisation.
  • Be proactive, show interest in, care for, speak with each intern and follow up on any situations or problems.
  • To act as a liaison between the students and company whenever required.
  • Attend local or International Workshops or Sales trips to promote the services of IW.

Additional requirements

  • Possess a clean driving license.
  • Proven experience in administrative roles, preferably within HR, recruitment, or internship coordination.
  • Excellent organisational skills, with the ability to manage multiple tasks and deadlines effectively.
  • Strong communication skills, both written and verbal, to interact with diverse stakeholders.
  • Commitment to continuous learning and contributing to the improvement of internship programs.
  • Must be able to work flexible hours.
  • Fluent in English.
  • Other languages would be an asset.
