Job Description

We are looking for an experienced person to form part of the commercial team to coordinate and prepare tender bids and related documentation for submission of tenders for security and other related tenders.

Role

  • Prepare tender documents by using standardised tender templates and paperwork of the company.
  • Compile and draft proposals, bids, and tender answers to ensure that tenders and bids are handled professionally, quickly, and compliantly.
  • Prepare estimates for the specific tenders for internal approvals.
  • Coordimate inputs and feedback to create a competitive bid document.
  • Monitor deadlines and facilitating timely submission.
  • Check valuation and contract negotiation.
  • Communicate with clients and vendors regarding tender criteria and statuses.
  • Compile  and maintain  internal procurement documents about the tendering process, including tracking management approval for tendering and contracting actions.
  • Maintain tender files and arranges for archiving following the completion of the tender.
  • Prepare status reports and projected timelines for tenders.
  • Coordinate and communicate with finance, operations and other departments during the tendering stage.
  • Manage and marshal the efforts of all relevant departments relating to tendering/bidding activities and contract review.
  • Prepare, administer and organise contracts while liaising with internal and external stakeholders.

Ideal requirements 

  • Experience in a similar or related role.
  • Excellent planning and organisational skills.
  • Comfortable working within tight deadlines.
  • Proficiency in software applications particularly Excel and Word.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Attention to detail and a high level of confidentiality and professionalism.
  • A good command of English and Maltese.
