Profile overview
Reporting to the Sales and Marketing Manager, the position primarily entails the smooth running of the Reservations department, ensuring that all bookings and data are processed in a timely and accurate manner and made accessible for all departments through the hotels’ Property Management systems. The Reservations Manager, besides being responsible in overseeing and monitoring the clerical duties of the Reservations department, is jointly responsible with the Sales and Marketing Manager for the generation of bookings / revenue deriving from the direct foreign and local booking segments.  The role includes day-to-day liaising with the Sales Team to control business flow and manage revenues through yielding, to achieve the set revenue targets.

Areas of responsibility

  • To ensure that all bookings and rooming lists are processed in a timely and accurate manner.
  • To lead the reservations team in allocating rooms.
  • To actively process, delegate and overlook all pre-booked supplementary services including taxis, car hire, food packs, Spa services and similar items.
  • Be familiar with all the hotels’ services / features and local attractions / activities, while ensuring that all the knowledge is shared between all the members of the Reservations department.
  • To conduct daily briefings, reviewing the daily activities including house count, forecasted business, catering activities, meetings and appointments as well as addressing any queries raised by the Reservations team.
  • Provides a two-way communication and nurtures an ownership environment with an emphasis on motivation and teamwork.
  • Helping out with room move requests, billing issues and other queries that may arise from time to time.
  • To reply, follow up, discuss and negotiate all leads from existing and new producers within 24 hours whilst doing all that is required to attempt and materialize the lead/s.
  • To discuss, review and implement action on how existing systems can be improved or how these can be made more effective.
  • Ensuring that all the team’s training requirements are met either internally or by liaising with the Management team to possibly source external training.
  • Any other task commensurate to the role.
