Job Description

The position of Stores Supervisor takes the overall responsibility for the storing and handling of all stock items, in line with health and safety regulations and brand standard policies. To be successful in this role you will have good analytical, organisational and IT skills. You will need to demonstrate the necessary attention to detail, flexibility and strength of character to maintain control over your areas of responsibility.

Duties and Responsibilities

  • Keeps abreast of newest trends and innovations in the hospitality industry.
  • Generally being alert for opportunities to improve the profitability of the department i.e. through controlling wastage and being responsible for the economy of all utilities and resources.
  • Take a proactive approach to supporting the Purchasing Manager, anticipating potential opportunities and risks.
  • Maintain effective communication within the department and ensure that the Purchasing Manager are kept well informed of any problems / queries that have arisen.
  • Report any problems / complaints to the Purchasing Manager.
  • To attend any departmental training sessions and / or meetings required.
  • To ensure good communication and offer support to the various departments within the hotel.
  • To be fully conversant with the Corinthia Employee Handbook.
  • Supports the hotel operation in times of demand.
  • Implements and adheres to the approved policies and procedures operating within the Stores function.
  • Responsible for storing and issuing all stock items in the hotel.
  • Issues and records all requisitions from the wine cellar, beverage store, dry food store and general goods store including print, consumables and guest supplies to the outlets.
  • Processes all relevant issue requests and returns through the nominated Purchasing / Cost Control system in a timely manner and keeps records safe.
  • Follow up on any unit size or quantity discrepancies with explanations to the Purchasing Manager.
  • Maintains the Micros Fidelio Materials Control system information (the Stores function only) updated and organised, and that month-end receiving is complete.
  • Arrange the collection of requisitions by departments and assist in the general maintenance of the various store areas.
  • Ensures storage and working areas are continuously maintained in a safe, clean and secure condition.
  • Assists in establishing and maintaining accurate par stock levels and alert Purchasing Manager of low stock for reordering purposes.
  • Conducts regular checks on ‘Best Before’ and ‘Use By’ dates of deliveries and store items, ensuring effective stock rotation and highlighting potential wastage well in advance to the Purchasing Manager.
  • Assists with monthly stock-takes of the inventory storerooms and other areas as directed alongside the Stores Assistant and Cost Controller.
  • Assists in goods receiving and purchasing related activities when necessary and also covers holidays or absence of the staff in these areas as required.
  • Drives the Corinthia values and philosophy.
  • Supervises, trains, and sets targets in conjunction with the Purchasing Manager and / or Direct of Finance for the members of the Stores team.
  • Oversees the Stores team alongside the Purchasing Manager and ensures objectives and daily and monthly tasks are completed.
  • Views the other departments as internal customers and provides excellent service to them in order for them to excel in their duties.
  • Obtains regular positive feedback from internal customers and suppliers.
  • Avoids overstocking and running short of stock.
  • Ensures no differences between theoretical and actual stock.
  • Completes the daily issue requests on materials control.
  • Minimizes breakages and wastage.

Health and Safety

  • To be aware of and comply with safe working practices as stipulated by the Health and Safety Act and as applicable to your place of work. This will include the incumbent’s awareness of any specific hazards at the workplace.
  • The wearing of appropriate protective clothing provided by or recommended by the Company will be obligatory.
  • To report any defects in the building, plant or equipment according to hotel procedure.
  • To ensure that any accidents to staff, guests or visitors are reported immediately in accordance with correct procedures.

    • Regulations, such as COHSS in the European Union, related to the control of substances hazardous to health.

As the hotel’s level of business varies considerably, there is a need for flexibility in attitude, approach and working hours.

Talent Profile

  • Experience:
    • Previous experience within a Stores / Goods Receiving or Purchasing function is essential.
    • Hospitality background is essential, preferably gained in an upmarket luxury food and beverage environment.
    • Previous experience of Purchasing / Cost Control systems desirable.
  • Skills and knowledge:
    • Computer literate, especially using Microsoft Word, Excel and Outlook.
    • Knowledge of materials control is desirable.
    • Articulate and fluent in written and spoken English.
    • Good math and analytical skills.
    • Professional, resilient, reliable.
    • Problem solver.
  • Education or Qualification:
    • Hospitality or business degree desirable but not essential.
    • Wines and food certification is desirable but not essential.
  • Requirements:
    • Additional physical responsibilities.
    • Prepared to carry heavy loads and rotation of stock and supplies.
    • Some shift work.
    • Flexible.
