Job Description

A. von Brockdorff Services Ltd is a well-established DMC that has been in operation for over 25 years. We are searching for a Groups and Events Manager.

Reporting directly to the General Manager, the position is a management position with duties that will include but are not limited to

  • Seeing all requests in a prompt manner.
  • Creating innovative proposals and quotes showcasing our knowledge of our islands.
  • Maintaining strong supplier relationships whilst continuously exploring new ideas, products and suppliers.
  • Following up on all requests to ensure that we can increase our group confirmation rate.
  • Tracking deposit deadlines and ensuring clients do not miss such deadlines so in turn, we can pay our suppliers on time.
  • Preparing all contracts and necessary documentation required for groups.
  • Acting as the main contact for multiple groups simultaneously, whilst coordinating all aspects of multiple programmes with our suppliers.
  • Overseeing the full event from arrival to departure and ensuring a smooth operation.
  • Issuing final invoices for groups and chasing suppliers for invoices.
  • Conducting post-event follow-ups and maintaining relationships with the client to try to attract future business.
  • Hosting and planning of site inspections and FAM trips where necessary.
  • Acting as a senior member of the team – providing knowledge and experience.
  • Availability to travel when required.
  • Assisting on social media and other marketing platforms.
  • Other responsibilities where required.

Working hours are Monday to Friday from 08:30 to 17:00, however, considering that this is a management position within the events industry, one will need to work as required on public holidays / weekends / evenings.

Requirements

  • Previous experience within the local tourism industry is a must.
  • Previous experience organizing events is a must.
  • Sales and customer-facing experience required.
  • Must possess great communication skills in English – both verbal and written.
  • The ability to speak Italian and/or any other languages will be considered a strong asset.
  • Must have a minimum diploma level of education.
  • Comfortable using MS Office.
  • Able to work independently and within a team.
  • Must possess great time management skills and have an eye for detail.
  • Positive and bubbly character desired.
  • Ability to travel if required.
  • A valid driving license and use of own car is required.
