Job Description

The role of the Human Resources Administrator has the responsibility for supporting the Human Resources department in various administrative tasks related to employee records, benefits administration, and compliance. Whilst reporting to the Human Resources team Leader, the HR Administrator is also responsible for maintaining employee records and ensuring that all necessary paperwork is complete and up-to-date and managing employee benefits, including enrolment, communication, and problem resolution. Furthermore, the HR Administrator must assist in the recruitment process and support in the overall HR related queries ranging from employees to external partners.

General duties include but are not limited to:

  • Maintaining employee records by ensuring that these are complete, accurate, and up to date, including personal information, job titles.
  • Managing employee benefits, including enrolment, communication, and problem resolution.
  • Ensuring that the company is complying with all applicable laws and regulations related to employment and labour.
  • Assisting with recruitment efforts by posting job openings, screening resumes, scheduling interviews, and other administrative tasks.
  • Updating internal databases and organizing personnel records.
  • Assisting in the preparation of employment contracts, work permits / visa applications, extensions of contracts, changes and terminations.
  • Preparing any documentation that may be needed for employment when it comes to non-EU citizens.
  • Communicating with employees on various HR-related matters, including benefits, policies, and procedures.
  • Responsible for other administrative tasks.
  • Assist in receptionist duties when required.

Position requirements:

  • A diploma in Human Resources, Business Administration, or a related field will be considered an asset.
  • Previous experience in an administrative or HR support role is preferred.
  • Familiarity with human resources management systems and applicant tracking systems.
  • Good knowledge of employment law.
  • Proficient in the use of Microsoft Office programs such as Word, Excel, Outlook and Power Point.
  • Strong organisational and analytical skills.
  • Strong communication skills, both written and verbal.
  • Attention to detail and accuracy in data management and reporting.
  • Able to work calmly and effectively under pressure.
  • Flexibility and adaptability in a fast-paced, changing work environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Familiarity with employment laws and regulations.
  • European passport or working permission to work in Malta.
  • Clean police conduct certificate (must be presented).
