Job Description

We are currently seeking a detail-oriented and proactive HR Administrator to join and support our dynamic Human Resources team.

Key responsibilities include assisting, handling and organising the administrative functions across the various sectors within the HR team including:

  • Work Permit Processing:
    • Oversee the end-to-end process of new work permit applications, ensuring adherence to local regulations.
    • Collaborate with government agencies and legal partners for timely and compliant approvals.
    • Monitor work permit expiration dates and facilitate renewals as needed.
  • Onboarding:
    • Collect and verify onboarding documents from new employees, ensuring a smooth integration process.
    • Coordinate orientation sessions, providing essential information about company culture, policies, and procedures.
    • Collaborate with various departments to enhance the onboarding experience.
  • Employee Feedback and Engagement:
    • Design and conduct employee feedback surveys and polls to gauge satisfaction and identify areas for improvement.
    • Analyse survey data to provide actionable insights for continuous enhancement of HR practices.
  • Documentation Management:
    • Filing, coordination and organisation of employee documents and other R-related documents involved in HR Operations.
    • Assisting in preparation of templates, policy and SOP updates, preparation of employee required letters and documentation required for applications for funding.
    • Liaising with third parties as required (eg in obtaining quotations, making reservations for products / services etc).
    • Contribute to the development and enhancement of document management systems for streamlined HR processes.
    • Maintain accurate and confidential employee records, ensuring compliance with data protection laws.
  • Monthly Reporting and Presentations:
    • Generate monthly reports on HR metrics, providing valuable insights into workforce trends; compile presentations for team meetings, as required; assist in coordination and planning of HR-related social and team events, contributing creative ideas to foster a positive and collaborative work environment.

Requirements:

  • Education:
    • Preferably a formal qualification in Human Resources, Business Administration, or a related field.
  • Experience:
    • Experience in a similar role in HR administration, with a focus on work permit processing and onboarding procedures.

Skills:

  • Strong organizational skills with the ability to manage multiple tasks concurrently.
  • Excellent communication and interpersonal abilities.
  • High attention to detail in document processing.
  • Proficiency in Microsoft Office Suite and experience with HRIS (preferably, Bamboo HR).

Collaboration:

Ability to collaborate effectively with cross-functional teams and external partners.

Adaptability:

Flexible and adaptable, capable of navigating changing priorities.
