Position Summary
The Assistant to the General Manager provides direct support to the General Manager. By providing support in various tasks, the Assistant to the GM will further enhance the CEO’s capability to expand, develop and manage the business efficiently and effectively.  

  • Act as the GM’s first point of contact with people from both inside and outside the organisation;
  • Plan and organise meetings, managing the GM’s diary in line with his requirements;
  • Screen phone calls, enquiries and requests, and handle them in a competent professional manner;
  • Deal with incoming emails and post, corresponding on behalf of the GM if and when required;
  • Organise and attend meetings, ensuring the GM is well prepared for meetings;
  • Devise and maintain office systems, including data management and filing;
  • Arrange travel, visas and accommodation and be ready to travel with the GM to support if and as required;
  • Engage in specific projects and research and present findings;
  • Engage in the drafting of correspondence, produce documents, briefing papers, reports and presentations as required;
  • Meet and greet visitors at all levels of seniority;
  • Liaise with clients, suppliers and other staff as required;
  • Book courses, conferences and events as required;
  • Engage in any other task commensurate with the role.

Knowledge, skills and experience
The ideal candidate should:
  • Possess strong administrative and personal assistant skills with an ability to work well in a fast paced environment;
  • Be an effective planner with proven time management skills is necessary; 
  • Have attention to detail, personal commitment, efficiency, and great team liaison skills;
  • Ideally have previous experience in a similar post;
  • Excellent written and oral communication skills in English and Maltese;
  • Be able to multi-task and be able to adapt quickly to different activities;
  • Possess excellent word processing and IT skills, including a range of software packages and comprehensive capabilities in Microsoft Office (Word, Excel, Power Point and Outlook).
