Job Description

The Ona Group is looking for a highly motivated Office Administrator / Personal Assistant to join our growing team.

Duties and responsibilities will include but are not limited to:

  • Daily operations and admin duties to run an office.
  • Acting as a Receptionist and / or meeting and greeting clients.
  • Manage and organize project-related documentation, including permits and reports.
  • Maintain project files and ensure all documents are up-to date and easily accessible.
  • Coordinate with utility companies to ensure timely installation and activation of services.
  • Keep Records of all utility applications and follow up on any issues or delays.
  • Schedule and organize meetings for the construction team, contractors, and other stakeholders.
  • Prepare meeting agendas, attend meetings, take detailed minutes, and distribute them promptly after the meeting.
  • Screen and direct phone calls and distribute correspondence.
  • Handle requests and queries appropriately.
  • Manage diary and schedule meetings and appointments.
  • Source office supplies.
  • Manage travel arrangements.

Skills required:

  • Well-developed organizational skills.
  • Attention to detail.
  • Great verbal and written communication skills.
  • Good working knowledge of MS office Products (Word, Excel, and Outlook).
  • Professional discretion.
  • Proven experience as a Secretary or Administrative Assistant.
  • Valid driving license.
