Job Description

We are currently seeking a skilled Administrative Receptionist to join our clinic at PrimaMed located in Zurrieq. This part-time position offers flexible hours to accommodate a variety of schedules. As an Administrative Receptionist, you will play a crucial role in providing excellent customer service and ensuring smooth operations within the clinic.

Responsibilities

  • Greet and welcome patients and visitors in a friendly and professional manner.
  • Answer phone calls, schedule appointments, and manage the appointment calendar efficiently.
  • Register new patients and update their information in the clinic’s database accurately.
  • Coordinate with medical staff to ensure timely patient flow and minimize waiting times.
  • Handle incoming and outgoing correspondence, including emails and mail.
  • Order, receive, and handle stock, including medical supplies and office equipment.
  • Maintain inventory records, monitor stock levels, and restock as needed.
  • Perform regular checks for expired or damaged stock and follow proper disposal procedures.
  • Maintain cleanliness and orderliness in the reception area.
  • Handle billing processes.
  • Perform general administrative tasks, such as filing, data entry, and record keeping.
  • Collaborate with other staff members to maintain a positive and cooperative work environment.

Qualifications

  • Excellent communication skills, both verbal and written in Maltese and English.
  • Strong customer care skills with a friendly and welcoming demeanour.
  • Attention to detail and ability to maintain accuracy in data entry and documentation.
  • Proficient knowledge of computer systems and software, including Microsoft Office Suite and POS systems.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Previous experience in a similar administrative or receptionist role is preferred.
  • Knowledge of medical terminology and experience in a healthcare setting will be considered as an asset.
  • Must be reliable, punctual, and able to work independently with minimal supervision.

Working hours
The main hours for this position will be based on the clinic’s needs, typically ranging from 3 to 4 times a week or as needed, between 3:00 pm to 6:30 pm on Mondays to Fridays, and 7:00 am to 1:00 pm on Saturdays. Some flexibility may also be required to cover occasional shifts outside these hours.
