Job Description

At Elitavia Malta Ltd., a private aviation company specialising in aircraft management and charter sales, we are looking for a full-time Office Administrator to work in our Malta Office located near Safi Aviation Park.

Your responsibilities will include:

  • Basic administration duties such as taking care of the company phone calls, post, DHL and local courier shipments, ordering office supplies and maintaining a presentable office space
  • Take charge of office expansion and office furnishings
  • Arrange and coordinate movements of original documents to lawyers offices, Government departments, Elitavia crews, clients etc. including when necessary taking / collecting documents personally
  • Provide support on aircraft registration process, customs import of aircraft, invoice checking, preparation and maintenance of budgetary information, airport pass management, administration relating to risk register etc.
  • Follow up and provide secretary and agenda control for meetings and technical admin support for all departments
  • Organisation of any local events
  • Support various data entry tasks in company software
  • HR admin tasks

Skills and Qualifications required:

  • Adequate education level preferably at MQF / EQF level 4 or 5 or better
  • Qualifications in secretarial studies or basic HR admin will be an advantage
  • Excellent online and phone etiquette
  • Excellent command of English, Maltese would also be preferred although not essential
  • Familiarity with office management procedures and basic accounting principles
  • Proficiency in MS Office applications and basic software
  • Having a can-do-attitude in solving issues with parallel tasks being managed concurrently
  • Must have a driving licence, and own car
  • Must possess a clean police conduct
  • Previous experience in office administration will be considered an asset
