Job Description

Due to constant growth of the company, E&L Enterprises Ltd is recruiting an Executive Assistant on full-time basis who will be working closely with the Office Executive and the Director to provide administrative support.

Job and key responsibilities

  • Provide support to the Director
  • Assist the Executive Office Administrator
  • Perform various office management duties in a professional level
  • Prepare important corporate documents
  • Schedule appointments
  • Manage travel to Directors and related team
  • Preparing all payroll documents to be issued to the payroll provider
  • Onboarding and organizing starter packs to new recruits
  • Maintaining employee records
  • Update internal databases with new hires’ data
  • Preparing of documents of work permits applications with Identity Malta and Jobsplus for the payroll providers
  • Publishing and create job postings
  • Scheduling interviews
  • Assist in arranging training activities for the employees
  • Assist in the health and safety organization of the company
  • Maintaining renewals of company and vehicle insurance policies to be renewed in time
  • Maintaining of renewals of machinery and Heavy Vehicles’ Engineer’s certification
  • Acting as Purchasing Officer to all the requirements and necessities in the office
  • Perform other administrative duties such as filing, typing and copying
  • Assist in organizing the company annual events and staff parties

Requirements

  • A minimum 1-year experience work experience in an office environment
  • A’ level standard of education and / or MCAST or other institute certificate in a related field
  • Proficient computer literacy in word, excel PowerPoint and emails
  • Solid organizational and time-management skills
  • Smart, mature and of professional disposition
  • Capable to work on own initiative
