You are:
Energetic individual who doesn’t mind wearing multiple hats and juggling many tasks at any one time is a piece of cake for you! You take responsibility for the smooth running of the office. Creative, influential and driven to produce new ideas that look to enhance and help in the development of day to day processes around the office.

What you’ll be doing:

  • Managing relationship with vendors, suppliers, and ensure that all items are invoiced are paid on time
  • Be point person for office matters including maintenance, mailing, supplies, equipment, bills, errands, shopping and so on
  • Create a positive and consistent experience for new hires including assisting HR with on boarding and orientation, as well as setting up the work station
  • Assisting with different events planning like parties, conferences, meetings, travel and so on
  • Responsible for Private Health Insurance and Office Insurance
  • Designing and implementing office policies and procedures throughout the organization
  • Purchase office supplies and equipment and maintain proper stock levels of stationery, groceries, water supplies etc
  • Assist with the marketing function of the business, mainly social media updates on regular basis
  • Maintaining a safe and secure working environment and ongoing improvement
  • Be responsible for petty cash and financial records
  • Liaising with cleaning, catering and security services
  • Assisting CEO with any urgent matters

What you’ll bring:

  • At least 1-year experience in a similar role within Administration
  • Proactive, and ability to prioritize tasks effectively
  • Ability to work autonomously
  • Excellent level of English (written/oral). French language is considered an asset
  • Team working skills and the confidence to lead and motivate
  • Excellent organisational and time-management skills
  • Proficiency in Microsoft Office
  • A creative mind with an ability to suggest improvements
