Job Description

The Reservations Agent is responsible for ensuring smooth and efficient communication with customers through effective reservations service.

Key Responsibilities and Tasks:

  • Communicating directly with clients, offering prompt, friendly and courteous service to customers at all times
  • Receiving calls from customers and handling their queries
  • Processing all incoming reservations and queries
  • Maintain the up-keep of the reservations records
  • Answering guest messages through various channels
  • Ensure that any guest requests are taken note of and delegated accordingly
  • Ensuring internal procedures are constantly being followed
  • Actively sell and promote guest rooms to generate a room sale
  • Accurately process and file all reservations / amendments
  • Tracking and processing of cancellations and no shows
  • Follow up on reservation and group quotes and tentative bookings
  • Process daily arrival and other reports to ensure the accuracy of all accounts
  • Understanding of different online booking systems
  • Assisting the Senior Sales Executive in group request administration
  • Review of special requests, long-stay reservations and amenities required
  • Knowledge of hotel services and guest room facilities
  • Perform competitive benchmark studies and follow market trends as well as rate parity checks
  • Ensure rooms availability by monitoring up-to-date
  • Perform duties as per daily, weekly, monthly checklist provided
  • Provides exemplary customer service, driving customers’ loyalty

The potential candidate will ideally possess the following skills and qualities:

  • Proficiency in MS Office and hotel property management systems. Experience in Opera Cloud will be considered an asset.
  • Excellent written and telephone communication skills
  • A guest-centric attitude
  • Fluency in English. Proficiency in another European language will be considered an asset
  • Ability to promote additional services like room upgrades, packages, or hotel amenities
  • Team work skills, and the ability to work closely with other hotel departments
  • Previous experience in a similar role will be considered an asset
